Doxlair is a product owned and operated by Alcon CRS, LLC.

We collect information you provide directly when you create an account, set up your organization, create projects, field notes, change orders, or contact support. This includes your name, email address, company name, mobile phone number when you choose to enable SMS, your SMS consent status, and any project data you enter.

We also automatically collect certain technical data when you use the service, such as your IP address, browser type, device identifiers, and usage activity logs.

2. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Doxlair platform
• Process change orders and manage approval workflows
• Send transactional emails such as approval notifications and invitations
• Send SMS messages you request or consent to receive, including mobile-number verification codes and secure Daily Interview links
• Improve and develop new features based on usage patterns
• Provide customer support and respond to inquiries
• Comply with legal obligations

3. Sharing Your Information

We do not sell, rent, or trade your personal information. We may share your data only with:

• Service providers who assist in delivering our platform (e.g., hosting, payments, email and SMS delivery). SMS delivery providers process your phone number and message content as needed to transmit messages on our behalf; providers may also process delivery metadata to operate and support delivery.
• Your organization members in accordance with the role-based access controls you configure
• Law enforcement or regulatory bodies if required by applicable law

Mobile information, including mobile phone numbers and SMS opt-in/consent data, will not be sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes.

All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.

4. SMS Communications

Alcon CRS, LLC, doing business as Doxlair, offers an optional transactional SMS program for account and product workflows. If you choose to enroll, messages may include six-digit phone verification codes that you request and secure Daily Interview links sent when an authorized account administrator requests a link or enables a workday schedule for the assigned Project Manager. Daily Interview links are not marketing messages. SMS enrollment is not required to purchase or use other Doxlair features.

• Message frequency varies based on your requests and use of Doxlair.
• Message and data rates may apply.
• Reply STOP to opt out of SMS messages and HELP for help.
• You may also opt out from your Doxlair SMS settings. Opting out may disable SMS-based secure-link features.
• Consent to receive SMS messages is optional and is not a condition of purchasing a Doxlair subscription.

5. Data Storage and Security

Your data is stored on secure servers hosted in the United States. We implement industry-standard security measures including encryption in transit (TLS), access controls, and regular security audits. Uploaded files are scanned for malware before storage.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the service. If you cancel your account, we will delete or anonymize your data within 90 days, except where we are required to retain it for legal purposes.

7. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, or delete your personal data. To exercise these rights, contact us at privacy@doxlair.com.

8. Cookies

We use session cookies necessary for authentication and to maintain your logged-in state. We do not use third-party advertising cookies.

9. Children's Privacy

Doxlair is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. Continued use of the service after changes constitutes acceptance of the updated policy.
